General Affairs Assistant

  • Reception services
  • Post/mail/courier services (incoming, outgoing)
  • Travel organisation – organize business trips for employees (flight tickets reservations, hotel bookings, other travel management,  yearly update travel expenses sheet regarding travel allowances)
  • Responsible for all office run (technical office and kitchen equipment, office materials, refreshment, contact person for suppliers, repairs, cleaning service, first contact for office building management, etc.)
  • Meeting rooms – reservation, cleanness, tidiness
  • IT support/Help Desk for the office and employees (IT tickets, replacement of/new laptops, mobile phones and other related IT equipment, printer, etc., update of distribution lists, etc.)
  • Update useful lists (e.g. employees´ phone list)
  • Invoices – enter invoices into the system SAP, act as an approver in the 1st round
  • The 1st contact person for regional accounting
  • Participate in audits, mainly in accounting
  • Fleet management – communicate with LeasePlan, responsible for parking places system, prepare contracts on company cars
  • Hand over protocols on cars, IT equipment, office cards
  • Agenda of mobile phones including communication of mobile phone policy, contact person for Vodafone
  • Storage room management
  • Customs procedures management
  • Office administrative support to management
  • Assistance to General Manager
  • Support to HR (fire protection and personal safety, medical examinations, pick illness notifications up from portal PSSZ (Pražská správa sociálního zabezpečení), provide data for “Náhradní plnění”, administer cafeteria benefits)
